What Affects Shipping Costs?
Shipping costs are driven by four main factors: weight, size (DIM weight), distance (zone), and service speed. Weight is the most obvious - heavier packages cost more. But dimensional (DIM) weight can push costs higher for large, light packages. A carrier will bill whichever is greater: actual weight or DIM weight.
Distance is measured in zones, not miles. UPS and FedEx use zones 2-8, where zone 2 is local/regional and zone 8 is cross-country. A 5 lb ground shipment can cost $14 at zone 2 and $29 at zone 8 - more than double. USPS uses a similar zone system starting at zone 1.
How Shipping Zones Work
Zones are determined by the distance between the origin ZIP code and destination ZIP code - they are not based on state borders. A shipment from New York to New Jersey might be zone 2, while a New York to California shipment would be zone 8. Because zones depend on your specific origin, two businesses in the same state but different cities can have different zones to the same destination.

Tips for Reducing Shipping Costs

For short distances (zones 2-3), ground transit times are 1-2 days - nearly as fast as air but at a fraction of the price. Air services (2-day, overnight) are best when you need a guaranteed fast delivery, typically for time-sensitive documents, medical supplies, or high-value items where the urgency justifies the premium.
